Administrative Assistant (Part-time)
What You’ll Do:
- Support of GHF leadership:
- Prepare board packets and materials for bi-monthly Board of Directors (BOD) meetings.
- Update and maintain board meeting schedules and assist during meetings as needed.
- Collaborate with the Executive Director to address inquiries from Board members and with other team members to address inquiries from other stakeholders
- Collaborate with the Dir. of Strategic Engagement on the monthly donor acknowledgement process to ensure timely recognition and accurate records
- Assist in event planning and implementation for fundraisers and community events.
- Human Resources Activities:
- Support the hiring process by coordinating postings, screening applications, scheduling interviews, and assisting in the hiring/onboarding process.
- Coordinate logistics for staff recognition, team-building activities, and the annual staff retreat
- Financial Support Tasks:
- Weekly: prepare and process vendor invoices, and complete the documentation of credit card expenses for review/approval by the Executive Director
- Review and process expense reimbursement forms from staff
- Organize and maintain monthly financial records
- Meeting Coordination: Coordinate calendars for large group meetings to ensure seamless scheduling and preparation
- Other Administrative tasks:
- Prepare mailing labels and coordinate mailing/shipping needs across the organization
- Order and maintain office supplies, ensuring resources are readily available.
- Submit work orders to building management and liaise with vendors to maintain strong relationships.
- Regularly check and distribute incoming mail.
- Participate in weekly staff meetings and proactively identify opportunities for administrative support.
What We Expect From You:
- Exceptional organizational skills and the ability to effectively prioritize tasks with strong attention to detail
- Ability to manage deadlines independently and follow up as necessary
- Reliable, punctual, and able to adapt to shifting priorities
- Proficiency with Microsoft Office (Word, Excel) and Adobe tools
- Experience with platforms such as bill.com, QuickBooks, Click Up, EveryAction, Zoom, or similar tools is a plus
- A positive, solutions-oriented approach to clerical and administrative tasks
- Commitment to social and economic justice
Pay Rate & Benefits:
- Pay Rate: $22-$25 hourly (20 hours per week)
